Our Commitment to a Child Safe Culture
The purpose of the Child Protection Act 1999 (QLD) is to provide for the protection of children. The underlying principle of the Child Protection Act 1999 is that all children have the right to protection from harm. Harm to a child is any detrimental effect of a significant nature on the child’s physical, psychological or emotional wellbeing. It is immaterial how the harm is caused. Harm can be caused by physical, psychological or emotional abuse or neglect; or sexual abuse or exploitation. The purpose of this policy is to ensure that all employees and volunteers at UFVRA have clear guidelines to assist them in responding to suspicions or allegations of harm to children accessing the service.

- UFVRFA - Australia offers a range of services that enable us to reach out, advocate, connect and inform. We work with a multitude of people in a range of programs to promote a diverse, socially just and inclusive community. A number of our programs enable us to work directly with families and young children. In recognising that children are vulnerable to the actions of adults we embrace the following:
Statement of Commitment
- UFVRA believes that all children have the right to a life that is free from harm. Our services that cater to children aim to provide an environment that is free from any type of abuse or intentional harm. Employees and volunteers at these services are aware of their obligations under the law in regards to the welfare of children and at all times uphold their obligation. Child and Youth Risk Management Strategy
- UFVRA -Australia will comply with legislative framework outlined in the Working with Children (Risk Management and Screening) Act 2000 and Working with Children (Risk Management and Screening Regulations 2011 to keep children and young people safe. In order to comply with the legislative framework, a child and youth risk management strategy must include eight minimum requirements.
These requirements are:
- Address the organisation’s commitment to creating a safe and supportive service environment;
- Strengthen an organisation’s capability to provide such an environment;
- Assist an organisation to manage any particular concerns with respect to the safety and wellbeing of children and young people who are involved with the organisation, and
- Promote the consistency of an organisation’s approach to risk management, both within the organisation and with respect to compliance with the requirements under the Act

Collection of Personal Information
UFVRA – Australia follows the Australian Privacy Principles in handling personal information; we collect personal information about individuals, including supporters, employees, contractors, volunteers, special representatives/delegates, and job applicants. This information may be collected directly from you in person, by phone or email, on hard copy donation forms, via our website or social media. We may also collect your personal information from publically available sources or third parties.
Use of Personal Information
The personal information we collect and hold generally includes contact details (i.e., name, address, email, and phone number), personal details including date of birth, and a credit card or bank account details.
We use the personal information you provide us with for the purpose for which it was provided to us, other related purposes, or as permitted or required by law. Generally, we collect and use your personal information for:
Communicating with you via mail, email, SMS, or phone;
Completing financial transactions, including issuing receipts;
Maintaining accurate details of our donors' history, interests, and contact preferences;
Responding to your questions, comments, or other requests; or
We are offering you employment.
As detailed below, we also use your information in our marketing and fundraising activities, keeping you informed of our latest news, campaigns, and appeals or about campaigns and appeals which may be of interest to you. We may also offer you the opportunity to participate in surveys carried out by UFVRA – Australia.
By completing our donation and pledge forms, you consent to Australia for UFVRA storing your personal information for processing donations, communicating with you, issuing receipts, and sharing with our trusted service providers. We will endeavor to provide you with an opportunity to opt-out of receiving future communications and make every effort to ensure that our opt-out notices are straightforward and easy to follow. If you do not wish to receive future communications from UFVRA – Australia or want to limit the use of your personal information, then please contact our Donor Team; contact details are included at the bottom of this policy.
We use your details to assist in the cost-effective development of our marketing and fundraising activities by sending you information by post, email, SMS, or telephone. As we have many supporters, at times, we use external providers to assist with our telemarketing and mailing. We will take reasonable steps to ensure that our contracts with third parties include requirements for third parties to comply with the Privacy Act's use and disclosure requirements and the Australian Privacy Principles.
Disclosure and Sharing of Personal Information
We occasionally invite other like-minded and trusted organizations in Australia to contact you with information that may be of interest. These allow UFVRA – Australia to increase its base of supporters and reach more people with our vital message.
Any personal contact information you provide to us may be disclosed, if appropriate, to third parties who provide services on our behalf. We may also disclose your personal information to our volunteers who assist with many of our events and administration duties.
Strict confidentiality agreements are in place with our service providers and external agencies and with staff and volunteers who handle your personal information. We will only disclose your data for the purposes for which it was initially collected, other directly related intents, or purposes to which you otherwise consent.
Other than as stated above, we will not share your personal information. However, though unlikely, it is possible that we might be forced to disclose personal information in response to legal processes. Or when we believe in good faith, the law requires it, for example, in response to a court order, subpoena, or a law enforcement agency's request.

Access and Correction of Personal Information
UFVRA – Australia will correct its records containing personal information as soon as practically possible at the request of the individual concerned under the Privacy Act. We take reasonable steps to ensure that the personal information we collect and hold is accurate, complete, and up-to-date. However, we rely on you to advise us of any personal information changes to maintain accurate, complete, and up-to-date information.
On request, we will provide you with access to the personal information we hold about you unless otherwise required or permitted by law. We will notify you of the basis for any denial of access to your personal information.
Individuals wishing to lodge a request to access and correct their personal information should do so by contacting our Donor Care Team; contact details are included at the bottom of this document.
Quality of Personal Information
UFVRA – Australia will review its collection and storage practices on a regular and ongoing basis to ascertain how improvement, to accuracy, can be achieved. We may utilize the services of third parties to maintain accurate personal information. Where such disclosure is made, we take reasonable steps to require these organizations to comply with the Australian Privacy Principles.
Storage and Security of Information
We strive to protect your personal information protected from misuse, loss, interference, unauthorized access, modification, or disclosure. For example, whenever we ask for your financial details online, we use industry-standard security on our website forms.
No data transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, UFVRA – Australia cannot ensure or warrant the security of any information you transmit to us over the Internet. You do so at your own risk. Once we receive your transmission, we make our best effort to ensure its security both on our systems and in transit between our systems and the companies who provide us with various services. Third-party service providers may use data centers overseas or locate overseas. If you do not wish to make your financial contribution online, please contact our Donor Care Team to receive a hard copy form; contact details are included at the bottom of this policy.
Making a Privacy Complaint
We will manage your complaint following our Complaints Policy. You will need to provide us with sufficient details regarding your complaint and any supporting evidence and information. We will contact you if we require any additional information from you and notify you in writing of the investigation outcome. If you are not satisfied with our determination, you can contact us to discuss your concerns. Suppose your complaint is about the way we handle your personal information. Governance Committee Charter
The Corporate Governance Committee is a sub-committee of the Board. It comprises up to six members including the Chief Executive Officer and non-executive Directors. Other relevant management together with external parties who are not Directors but whose expertise or input is relevant to the operation of the Committee may attend by invitation. The Committee Chairman is a non- executive Director, and the quorum for holding a meeting of the Committee is two non-executive Directors.
Members are appointed by the Board, and the performance of the Committee is reviewed by the Board at least annually.
The primary responsibilities of the Corporate Governance Committee are to assist the Board in its governance role of ensuring that the organization operates effectively, efficiently, ethically and legally by:
developing and implementing an evaluation process to assess the performance of the Board and its members;
developing and recommending to the Board an appropriate set of corporate governance principles;
identifying and recommending candidates for membership of both the Board and its committees, and of the Council of Governing Members; and
Advising the Board in relation to periodic reviews of the governance process and the Constitution.
The Committee is accountable to the Board of Directors. The Chairman of the Committee reports to the Board Meeting following each meeting of the Committee on the matters discussed and makes any recommendations to the Board which have been agreed by the Committee. Detailed minutes of each meeting are provided to the Board for review.
While the Committee is required to make recommendations on various matters to the Board, it does not have the authority to commit the Board or management to the implementation of any of its recommendations except where such authority is specifically delegated to it by the Board.
In discharging its responsibilities the Committee meets on a regular basis to consider various matters relevant to its role.
Board Performance Evaluation
The Committee makes recommendations to the Board regarding performance evaluation. As such, the Committee:
reviews the company’s performance evaluation procedures in relation to the Board and its members on an annual basis to ensure that they reflect contemporary best practice;
assesses the performance evaluation feedback from Directors provided to it by the Chairman of the Board, and makes recommendations to the Board on responses which may be translated into actions in subsequent periods; and
Advises on appropriate disclosures of the findings from the evaluation process.
Corporate Governance Principles
The Committee develops and makes recommendations to the Board on the adoption of corporate governance principles which are consistent with the ASX Principles of Good Corporate Governance to the extent that they may be applicable to the operations of the company.
Performance against those principles is required to be reviewed annually and reported in the Annual Report.
Board and Council Membership
The Committee meets makes recommendations to the Board on the size and composition of both the Board and the Council of Governing Members. In doing so it is required to consider:
the range of skills which is required to maintain and enhance the effectiveness of each body;
the need for appropriate succession planning and turnover of Directorships in relation to the Board;
the findings of annual performance evaluations of the Board and its members and any subsequent actions which have been agreed; and
The contributions which might be expected from candidates.
The Committee monitors contemporary governance practices on an ongoing basis and makes recommendations to the Board on constitutional and governance changes which should be considered to ensure their continued appropriateness
The Committee may also be required by the Board to consider changes to specific aspects of both the Constitution and governance process separately from the five year review.
The Board may require the Committee to examine specific issues which are outside its normal terms of reference. The Committee may also identify specific issues and recommend to the Board that it be authorized to consider them.
